REFUND AND CANCELLATION POLICY

This Refund and Cancellation Policy outlines the procedures and guidelines regarding refunds and cancellations of donations made to Tap Roots Trust (“Trust,” “we,” “us,” or “our”) through our website www.taprootstrust.org (the “Site”).

1. GENERAL POLICY

As a charitable organization, Tap Roots Trust uses donations to immediately fund its programs and administrative costs. Due to the nature of our operations and our commitment to efficient fund utilization, donations are generally non-refundable.

2. EXCEPTIONAL CIRCUMSTANCES FOR REFUNDS

We understand that exceptional circumstances may arise. We will consider refund requests in the following situations:

2.1 Technical Errors

  • Duplicate transactions due to technical issues
  • Incorrect donation amounts processed due to platform errors
  • Unauthorized transactions (where fraud is suspected)

2.2 Donor Errors

  • Accidental donations where the amount was significantly higher than intended
  • Donations made by minors without parental consent

3. REFUND REQUEST PROCEDURE

To request a refund, please follow these steps:

3.1 Timeframe
Refund requests must be submitted within 7 calendar days from the date of donation.

3.2 Required Information
Please provide the following information when requesting a refund:

  • Full name of the donor
  • Date of donation
  • Donation amount
  • Transaction reference number
  • Reason for requesting a refund
  • Supporting documentation (if applicable)

3.3 Submission Methods

4. REFUND PROCESSING

4.1 Review Period
Upon receiving a refund request, we will:

  • Acknowledge receipt of your request within 2 business days
  • Review your request within 5 business days
  • Notify you of our decision

4.2 Approved Refunds
If your refund request is approved:

  • The refund will be processed using the same payment method used for the original donation
  • Processing time may vary depending on your payment provider (typically 5-10 business days)
  • You will receive a confirmation email when the refund is processed

4.3 Declined Refunds
If your refund request is declined, we will:

  • Explain the reason for the decision
  • Offer alternative solutions when applicable

5. RECURRING DONATIONS

5.1 Cancellation
Donors who have set up recurring donations can cancel their commitment at any time by:

  • Logging into their donor account on our website
  • Emailing us at donations@taprootstrust.org
  • Calling us at +91 80 2345 6789

5.2 Processing Time

  • Cancellation requests received at least 5 business days before the next scheduled donation will be processed before the next payment
  • Requests received less than 5 business days before the next scheduled donation may not be processed in time to prevent the next payment

5.3 Partial Refunds
Recurring donations that have already been processed are subject to our general refund policy and are typically non-refundable.

6. TAX IMPLICATIONS

Please note that refunded donations will not be eligible for tax deductions. If you have already claimed a tax deduction for a donation that is subsequently refunded, it is your responsibility to amend your tax returns accordingly.

7. ADMINISTRATIVE FEE

In certain cases, a nominal administrative fee may be deducted from the refund amount to cover payment processing costs incurred by the Trust. This fee will not exceed 3% of the donation amount.

8. CHANGES TO THIS POLICY

We reserve the right to modify or update this Refund and Cancellation Policy at any time. The most current version will always be posted on the Site.
